Refund Policy

Here's how payments, cancellations and refunds work. The AI Handoff Plan has its own guarantee (section 1).
1. The AI Handoff Plan
Price. The current AI Handoff Plan fee is C$795 per organization. Pricing for future purchases may change at BlueChip's sole discretion. Your fee is confirmed before payment or booking. BlueChip People Strategies is not registered for GST, so no tax is added.
Payment. Businesses and nonprofits pay the confirmed plan fee before discovery, using secure card checkout or another agreed method. Prefer to pay another way? Reach out through the website chat and we can arrange an invoice, e-Transfer or another agreed method. Public bodies can use a purchase order and invoice on their agreed payment terms. Discovery is confirmed after payment, or for a public body an accepted purchase order, and after the completed intake leaves at least 48 hours to prepare. If a public body's invoice remains unpaid after its payment terms, the remaining deliverables are held until payment.
Work and people reviewed. Before payment, or before confirming a public-body engagement against a purchase order, we agree which people and work areas the review and guarantee will cover. During discovery, we set priorities within those agreed boundaries. The review is not restricted to a single repeated task. We document the agreed work and the people whose time the hours tally counts. Each person's time is counted once. The agreed people and work used to score the guarantee are recorded with the plan.
Guarantee. If your AI Handoff Plan cannot show evidence-backed potential to save at least 3 net team hours a week in total across the agreed people and work reviewed, your full plan fee actually paid is refunded automatically within 10 business days of the findings call. Net hours allow for the weekly time needed to check AI-assisted work and maintain the tools. Three hours is the combined team total, not three hours per person or per task.
What the guarantee covers. It covers what your AI plan finds. It doesn't guarantee results after you put it in place: the hours you actually get back depend on implementation, adoption and workload, which are in your control. The guarantee is judged on your AI plan and its hours tally, not on later hours-tracker data.
Automatic refund. With your AI plan you get a copy of the hours tally that scores it. It shows each step, the people involved, how often the work happens, the time before and after, and the evidence behind each estimate. If the tally shows less than three net hours a week in total, we refund your full plan fee actually paid within 10 business days of your findings call, by the method you used to pay. For a public body, that's by EFT or cheque, with a credit note against your purchase order. If the invoice hasn't been paid yet, we cancel it in full instead. You don't need to ask, and there are no forms. If you think we've scored the tally wrong, tell us within 30 days of your findings call and we'll review it with you. That review can only add to what you're owed, never reduce it.
Cancelling.
Before the discovery session, and before any work has begun: your fee is refunded in full, or the invoice is cancelled.
After the discovery session, before your AI plan is delivered: the work already done is taken into account. We keep half the fee and refund the other half (50% of the plan fee actually paid) (or invoice only half), and the guarantee no longer applies because your AI plan won't be scored. If you'd rather keep the guarantee, we can pause instead and finish your AI plan any time in the next 60 days at no extra cost. If we haven't resumed by then, we complete it with the information we have, and the guarantee applies as usual.
After your AI plan is delivered: there's no cancellation refund, but the guarantee still applies as above.
Tools, approvals and implementation. Before the findings and setup call, confirm by email which tools your organization has approved through procurement or IT. Included first-step setup is limited to the existing 45-minute findings and setup call, within the time available, and takes place only in a tool your organization has approved, or we prepare an IT request ready to send where approval or IT action is needed. Software, licences, IT installations, integrations and implementation beyond that included first step are separate costs and are not refundable by BlueChip. Your team or a provider you choose can lead implementation. Alternatively, BlueChip can lead implementation under a separately agreed scope and fee. HR advisory support carries no additional fee within that BlueChip implementation scope; it is not an unlimited or ongoing HR engagement included in the AI Handoff Plan fee. No ongoing retainer is required.
Retainer credit. If you sign a Practical AI and/or Embedded HR retainer with us within 60 days of your findings call, the eligible plan fee you paid is credited against that retainer's first invoice. Conditions:
one credit per AI Handoff Plan, applied once, against the first invoice only;
no credit if the fee was refunded under the guarantee, or waived;
the credit has no cash value and can't be transferred to another organization;
it doesn't apply to other services, such as evaluations, academies, investigations or one-off projects.
2. Practical AI and/or Embedded HR Retainers
Retainer terms, including notice, are set out in your signed agreement.
3. Workshops and Training
Deposits are non-refundable.
Balance payments: Due prior to delivery. If you cancel more than 30 days before the workshop date, your balance payment is not required, though your deposit is forfeited. Cancellations made 15 to 30 days before delivery require 50% of the remaining balance, with the deposit forfeited. Cancellations within 14 days of delivery require the full balance with no refund issued.
Rescheduling: Available at no additional cost, provided a minimum of 30 days' notice is given and the new date is subject to availability.
Force majeure: If BlueChip People Strategies is unable to deliver a workshop due to circumstances outside our control, we will offer to reschedule. If rescheduling is not possible, a partial refund will be considered at our discretion.
4. Assessments
The free online diagnostics (Governance Health Check, Org Pulse, Decision Quality Index, The Workplace Read, The Supervisor Blind Spot, and AI Pulse) carry no fee, so this policy doesn't apply to them.
Paid assessment engagements are scoped and invoiced individually. Once a Statement of Work or Service Schedule is signed and payment is received:
No refund is available if work has commenced
If work has not commenced and you cancel within 48 hours of signing, a full refund will be issued
Cancellations after 48 hours of signing but before work commences are subject to a 25% administration fee
5. Workplace Investigations
Investigation retainers and hourly fees are non-refundable once work has commenced. Given the nature of investigation work, partial completion does not entitle the client to a proportional refund.
If BlueChip People Strategies must withdraw from an investigation due to a conflict of interest identified after work commences, fees for work completed to that point are owing and non-refundable.
6. Payment Disputes and Chargebacks

7. How to Request a Refund
The AI Handoff Plan's guarantee refund is automatic and needs no request (see Section 1). For other situations where a refund may apply under this policy, submit your request in writing to:

Include your name, the service purchased, date of payment, and reason for the request. We will respond within 5 business days. Approved refunds are processed within 10 business days and returned to the original payment method.
8. Policy Updates
This policy may be updated from time to time. Updates apply to future purchases. The version in effect at the time of your payment governs your engagement. Later updates do not retroactively change that purchase's agreed fee, cancellation rights, guarantee or refund terms.
